Reports To:  Student Information Coordinator and Principal

 

Job Summary: Under general supervision, performs a variety of technical-clerical work preparing and maintaining data for SIS (Student Information System), a database pertaining to student attendance and demographic statistics in the assigned school. Work involves utilizing SIS, the student information system, to develop and maintain records of student attendance, class schedules, grades, demographic statistics, immunizations, etc., and to generate federal, state, and local reports. The employee is responsible for reviewing forms and handwritten information and entering data into proper computer files, often utilizing specialized codes and abbreviations; updating files on a daily basis, and printing out reports.  The employee is also responsible for troubleshooting errors or other operational problems with computers and peripheral equipment as it relates to SIS and preparing various correspondence and forms. Work also involves general clerical work, such as answering telephones and assisting visitors and parents with enrollment and questions about Granville County Public Schools.

 

Terms of Employment: Full-time for 10 or 12 months, with salary to be established on the Local Salary Schedule.

 

Duties and Responsibilities:

  • Utilizes SIS (the computerized student information system), WORD, and EXCEL to enter, store, and/or retrieve information as requested or as otherwise necessary.
  • Selects data from varied sources, and summarizes information for standard reports, including preparing reports for submission to building administrators, school system administrators, and The State Department of Public Instruction as required or as requested, ensuring delivery in a timely manner.
  • Prepares and maintains computer records of daily student attendance, reviews late-arrival data and reconciles with absences; reviews check-in and check-out data and reconciles with absences; enters codes into SIS to indicate individual students' excuses for absences; prepares correspondence and the Student Notification System to advise students' parents of excessive absences, according to established policies.
  • Prepares attendance reports and reconciles them monthly.
  • Prepares and maintains a database of student enrollment, recording such data as student's name, address, parents or guardians, sex, race, immunization record, grade of assignment, class schedule, grades, school bus assignment, medical needs, emergency contacts, etc.; and prepares periodic statistical reports; records students' withdrawal from school enrollment, recording reasons for withdrawal and students' plans, as available, and preparing periodic statistical reports.
  • Maintains computer records of students’ scores on state-mandated tests and standardized tests.
  • Provides information and/or training to school staff on the use of the student information system (SIS) and the application of data from the system.
  • Attends seminars, conferences, workshops, classes, lectures, etc., as appropriate, to enhance and maintain knowledge of SIS and other applicable software programs.
  • Prepares and establishes master schedules that show courses, classrooms, time periods, teachers, and other relevant information; produces student schedules and inputs changes and corrections.
  • Performs advanced scheduling which includes assisting administrators in the scheduling process; identifying solutions to being less than 100 percent scheduled; identifying course changes where complications exist; identifying where additional teachers may be needed based on student course selection; and identifying conflicts in scheduled class times.
  • Processes information and forms for obtaining academic progress information; runs and distributes report cards; runs related academic reports such as failure lists, honor roll, and grade distribution lists.
  • Uses the SADLS system to revoke student driving permits and licenses based on academic guidelines established by North Carolina.
  • All other duties as assigned.

 

Additional Job Functions:

  • Assists principal with scheduling projects.
  • Composes correspondence, prepares forms, and types other material into forms, assuming responsibility for spelling, punctuation, grammar, and format.
  • Answers telephones and greets visitors, receiving inquiries and providing information or referring callers to proper officials, as appropriate; records and relays messages, as appropriate.
  • Works with SIS accounts in the Parent Assistant module.
  • Resolves duplicate students in the UID system.
  • Updates staff in the Student/Parent Notification System.
  • Performs other related work as required.

 

 SPECIAL REQUIREMENTS

 

All school-based classified employees who work 30 or more must hold or obtain a Commercial Driver's License with P and S endorsements and be willing to drive a school bus and/or act as a bus monitor. 

 

Qualifications:

  • Graduation from high school and at least 3 years of experience in clerical work involving the use of computer-driven word processing, spreadsheet, and file maintenance programs; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

 

Knowledge, Skills, and Abilities:

  • Considerable knowledge of the operations of the school.
  • General knowledge of common word processing, spreadsheet, and file maintenance programs.
  • General knowledge of SIS (school-based).
  • General knowledge of the principles of organization and administration.
  • Ability to transcribe information and prepare standardized forms, letters, and reports from that information.
  • Ability to operate common office machines.
  • Ability to sort and distribute documents.
  • Ability to maintain complete and accurate records and to develop standard reports from those records.
  • Ability to respond to questions based on considerable knowledge of Power School (the student information system).
  • Ability to understand and follow oral and written instructions.
  • Ability to type accurately at a moderate rate of speed.
  • Ability to establish and maintain effective working relationships as necessitated by work assignments.
